vSysteme · updated September 6, 2026
vSysteme is an organizer with reminders. To do its job, it has to store
your tasks and a way to reach you. Below is exactly what is stored, why,
and who it is shared with. No legal fog.
What we store
- Name and email — so you can sign in, and so you can be found by email when someone adds you to their list.
- Password — only as an irreversible hash (scrypt). We don’t store your original password and have no way of finding it out.
- Your tasks — tasks, recurring rules, courses (things you take on a schedule), the history of what’s been done, colors and deadlines.
- Connections with people — who you are connected with, so you can set tasks for each other.
- Chat messages — messages between you and the people you are connected with.
- Blocks and reports — whom you have blocked and whom you have reported. We read reports: without that, there would be no way to know that someone is behaving badly. Chat messages are not included in a report.
- Time zone — so reminders arrive on your time, not the server’s.
- Technical data — notification subscriptions, your Telegram chat ID if you have connected it, and sign-in sessions.
Voice input
You can dictate tasks in two ways: with the “Say it out loud” button
(the microphone) in the app itself, and by sending a voice message to
the Telegram bot. Either way, the same thing happens:
- The recording is transcribed into text on our server. The audio file itself is not stored — it is processed and deleted right away.
- The microphone is on only while you are recording: you tap the button — we record; you tap “Done” or “Cancel” — we turn it off. There is no background listening, and permission is requested the first time you tap the button.
- The transcribed text is sent to a third-party text-processing service to work out what task you mean: date, time, recurrence. Along with the text, we send the titles of your open tasks — otherwise a phrase like “move the gym to tomorrow” would have nothing to be matched against.
- Names and emails are not sent outside. Neither yours nor those of the people you are connected with. If a phrase mentions a person, the service receives only the word you used for them — who that is gets worked out on our side.
Processed phrases are kept in a log — we need it to figure out why the
app understood a command differently from what you meant.
Who else receives data
- Apple, Google and Mozilla push services — the text of a notification, so that it reaches your device. Without them, notifications are not possible at all.
- Telegram — if you have connected the bot: the texts of reminders and of your messages go through it.
We do not sell data, do not share it with advertisers and do not use it for profiling.
How long it is kept
For as long as your account exists. Sign-in sessions expire after 90
days. There is no separate retention period for everything else: an
organizer is useful precisely because it remembers history.
Once a day we make a backup copy of the database — in case a disk
fails. Backups are kept for a week and then deleted. This is the only
place where data lives longer than in the app itself.
How to delete everything
Settings → Delete account. Deletion is immediate and complete:
tasks, rules, courses, history, chat messages, connections, the
Telegram link, notification subscriptions and the log of recognized
phrases all disappear. This cannot be undone.
One exception: tasks you have set for other people stay with them and
simply stop showing the author. Otherwise, a person would silently
lose a task they didn’t even know belonged to someone else.
You can revoke Telegram access separately, without deleting your whole
account, by disconnecting the chat from your account on the People tab.
Children
The app is not intended for children under 13, and we deliberately do
not collect age information.
Changes
If any of the above changes, we will update this page and the date at
the top. Significant changes will be shown in the app itself.
